Article 12A — Notices and Electronic Communication

Any notice, communication, or document required or permitted to be given to a member,
Community Manager, or Executive officer under this Constitution may be served by any of
the following means:
• By email to the address registered by the recipient in the Community’s member
register or official records;
• By posting a notice on the Community’s official platform, website, or member
communication system, provided the recipient has been notified that official notices
are served in this manner;
• By any other electronic communication method that the Executive has formally
designated as an official notice channel, provided that all members have been
informed of this designation;
• By post to any physical address provided by the recipient, as a supplementary
method where electronic means are not available or have failed.
Electronic means are the primary and preferred method of communication for this
Community. All members, Community Managers, and Executive officers are expected to
maintain a current, accessible electronic contact address.

A notice served electronically shall be deemed to have been received as follows:
• Email: at the time of transmission, provided no automated delivery failure notification
is received by the sender within 24 hours. If a delivery failure notification is received,
the notice shall be re-served by an alternative method as soon as practicable;
• Official platform or website notice: at the time the notice is posted, provided the
recipient has been previously informed that official notices will be posted in this
manner;
• Post (where used): on the second working day after the date of posting.
Where notice is given by posting on the Community’s official platform, the COO shall also
send an email notification to all affected members alerting them that a notice has been
posted. Failure to send such an alert shall not invalidate the notice, provided it was duly
posted.

3 Leave a comment on paragraph 3 0 12A.3 Member Responsibility to Maintain Contact Details
Each member is personally responsible for ensuring that their registered email address and
contact details are kept accurate and up to date. A member who fails to maintain current
contact details and consequently does not receive a notice that was properly served to their
registered address shall not be able to challenge the validity of any meeting, vote, election,
or decision taken pursuant to that notice on the grounds of non-receipt.
The Community shall provide a simple and accessible means by which members may
update their contact details at any time. The Executive shall notify all members at least once
per year to prompt them to review and update their registered details.

4 Leave a comment on paragraph 4 0 12A.4 Notices to the Executive and Community Managers
Notices to Executive officers shall be served to the official Community email address
designated for that role, or to the personal email address of the officer as recorded in the
Community’s official records. Notices to Community Managers shall be served to the email
address they have provided on appointment. Each officer and manager is responsible for
ensuring their contact details remain current.

5 Leave a comment on paragraph 5 0 12A.5 Language of Notices
All official notices shall be issued in British English, which is the governing language of this
Constitution. The Executive may, at its discretion, provide translations of notices into other
languages as a courtesy to members for whom English is not a first language, but the British
English version shall be the sole authoritative version in all cases.
